4th of July Holiday Schedule

ARC's offices will be closed on Friday, July 3, 2015, in observance of Independence Day.

Weekly Settlement Information
Banks will be open for business on Friday, July 3, therefore, the weekly settlement will still occur on Friday, July 3.

Sales Report Submission
The weekly sales report PED 07/05/15 will remain on a normal schedule for authorization and submission by 11:59 p.m. EDT on Tuesday, July 7.

Ticket Void Schedule
The GDS void date/IAR reconciliation date for tickets issued Thursday, July 2 will be extended until Monday, July 6.

Placing Emergency Document Requisitions Orders before the Holiday
In observance of Independence Day, ARC, the RR Donnelley warehouse and UPS will be closed on Friday, July 3, 2015. To ensure that your emergency order is received before Monday, July 6, your order will need to be placed in advance of the 4:00 p.m. EDT on Wednesday, July 1.

MIAT Mongolian Airlines Now Accepts UATP

Effective with sales issued on Monday, June 29, 2015 (PED 07/05/15), MIAT Mongolian Airlines (289/OM) will begin accepting UATP as a form of payment through ARC.


Fraud Alert – 4th of July Holiday Weekend

Don’t put your guard down during a holiday weekend because fraudsters certainly don’t take a break just because it is a holiday. This coming 4th of July weekend be on the look out for phishing emails. Current phishing emails (such as the example below) entice the reader to open an attachment. You may believe it is real, but it is not! Advise everyone who has access to the GDS not to open attachments or log into the GDS through an email.

It is extremely important to not open these types of emails or the attachments in the emails. Often, malware, spyware and viruses live in the attachment and once the attachment is open, that malicious software is downloaded to your computer or system to steal your client and business information. Also, it is important to note that malware, spyware and viruses change all the time, so you need to implement appropriate and updated procedures and systems to prevent unauthorized access to your PCs and system networks.

What should you do now?

  • Determine if your GDS has a program to “turn off your ticketing” when your agency is closed (evenings, weekends and holidays); and if your GDS program does, implement that program before the holiday. (Note that this type of program is different than simply turning off the printer.)
  • Advise staff of current and past phishing emails, and remind them not to click links, open attachments or log into the GDS through an email.
  • Implement a layered approach to prevent unauthorized access to your PCs and system network:
    • Use and monitor a firewall
    • Regularly use active and updated malware, spyware and virus protection
    • Update your operating systems with current security updates
    • Update applications with current security patches
    • Enable anti-phishing ability through your browser

What should you do during the upcoming holiday weekend?

  • Carefully monitor your booking and ticketing in your GDS on the weekend. If you find unauthorized/stolen tickets or bookings, immediately attempt to void them through the GDS.
  • If you find unauthorized/stolen tickets or bookings, contact your GDS for further instructions. Immediately change the password of the employee or IC whose credentials were used to fraudulently issue the tickets.
  • If you find unauthorized/stolen tickets or bookings during the holiday weekend, provide the details to ARC's Fraud Prevention team at fifp@arccorp.com or 855-358-0393, and staff will contact you by the next business day with important follow-up information.

ACTION REQUIRED: New Web Browser and Operating System Requirements for ARC Users

Data security is of the utmost importance to ARC. To that end, effective August 1, 2015, access to all of ARC's tools (e.g., My ARC, IAR, Agency Memo Manager, DRS, etc.) will be limited to users of ARC-approved web browsers and operating systems. Users of non-approved browsers and operating systems will not be supported after this date.

ARC is implementing this initiative because not all web browsers and operating systems offer the same level of security. Ensuring that the web browser, operating system and tools you use are up to date will not only help protect ARC's systems, but will also greatly help prevent your business from being exploited by cyber criminals.

If you are not using a browser and an operating system from the approved list below, you will need to upgrade as soon as possible. Otherwise, your ability to use ARC systems will cease on August 1, 2015.

Approved PC/Mac Operating Systems

  • Windows Vista SP2 or higher (includes Windows 7, 8 and 8.1)
  • OSX 10.8 or higher (includes v10.9 and 10.10)

Approved Web Browsers

  • Internet Explorer – Version 9 or higher
  • Safari – Version 6 or higher
  • Google Chrome – Version 40 or higher
  • Firefox – Version 34 or higher
  • Opera – Version 27 or higher

Approved Mobile Platforms – Operating Systems with Native (built in) Web Browsers

  • Android 5.0 or higher with native browser
  • iOS 8.1 or higher with native browser

Tip of the Week: Memo Manager and IAR Synchronization

As a Memo Manager user, do you know how Memo Manager synchronizes with IAR? If not, the following steps will give you a better understanding of how the process works.

  1. When an agency pays for a memo any given day of the week, the memo (whether it is a debit, credit or a recall commission) will contain the memo number, the agency’s ARC number, the memo amount, the date of issue and the carrier code.
  2. This information is then transmitted from Memo Manager into the agency’s IAR sales report.
  3. Every Thursday, the two systems synchronize when IAR completes processing the payment. Memo Manager is updated with the IAR settled date, settled amount and payment status. If, for any reason, the agency voids the memo payment in IAR, the void information will also be reflected in Memo Manager under the IAR "Payments" section of the Memo Details Screen.
  4. When the payment process is complete, the memo status will change from “Open-Payment Pending” to “Closed-by Carrier.” If the payment is partial, Memo Manager is still updated with the partial payment information although the memo’s primary and secondary status will not change until a full payment is made.
