ARC Thanksgiving Holiday Information

Sales Report Submission

ARC's offices will be closed on Thursday, Nov. 28 and Friday, Nov. 29 in observance of the Thanksgiving holiday. Agencies and CTDs will not have an extra day to prepare the sales report for PED Dec. 1, 2013. Your weekly sales report must be authorized by 11:59 p.m. EST on Tuesday,
Dec. 3.

Ticket Modification/Voiding Schedule
Please note that the GDS/IAR void date for transactions issued Wednesday, Nov. 27 through Sunday, Dec. 1 is Monday, Dec. 2.

Emergency Document Orders During the Thanksgiving Holiday
In observance of the Thanksgiving holiday, ARC will be closed Thursday, Nov. 28 and Friday, Nov. 29. Emergency orders placed Wednesday, Nov. 27 before 4 p.m. EST will ship the same day and arrive on Monday, Dec. 2. Second-day orders placed on Wednesday, Nov. 27 before 4 p.m. EST will arrive Tuesday, Dec. 3. Please place your document order early to avoid delays. Thanksgiving Holiday Fraud Alert

Fraudsters are unusually active on holiday weekends (and sometimes the weekend before a holiday!). With Thanksgiving coming up quickly, be on the lookout for phishing emails. Recent phishing emails include the following subjects:

  • "Maintenance Activity Notification" from your GDS
  • "Your Travel Reservation or Confirmation" from GOGO Vacations
  • "Your Reservation Itinerary" from Delta Air Lines
  • "Your E-Mail Confirmation from United" from United Airlines
  • "We are please to deliver your travel itinerary through TripCase" from TripCase Vacations

Phishing emails instruct you to click on the link(s) to confirm your credentials or to check on your client's booking. In all the examples, the links lead to a replica of your GDS login screen. You may believe it's real, but it's not!

Never enter your GDS login ID or password through an email!

What should you do now?

  • Ask employees and independent contractors if they "confirmed" their login IDs or logged into your GDS believing that the email was authentic. If they did, have them immediately change their GDS password and then contact your GDS for any further instructions they may have for you.

What should you do on the weekends and during the holiday?

  • Carefully monitor your booking and ticketing in your GDS the weekend before Thanksgiving and during the long Thanksgiving weekend. If you find unauthorized/stolen tickets or bookings, immediately attempt to void them through the GDS, and contact your GDS for further instructions. Immediately change the password of the employee or independent contractor whose credentials were used to issue the tickets.

Financial Guarantee and Accreditation Holiday Processing Schedule

As the holidays approach, please keep the following dates in mind with regards to processing by the Accreditation Services department:

  • Bond and Letter of credit cancellations need to be rectified by a reinstatement of current financial instrument or a new financial instrument by the cancellation date or by December 20, 2013.
  • If you have an increase to your cash deposit, ask in advance for cash deposit wiring instructions to submit cash deposit funds by the anniversary date or by December 20, 2013.
  • All refunds for the month of December until January 1, 2014, will be processed by December 20, 2013.
  • All letter of credit draws for the month of December 2013 and January 1, 2014, will be submitted two to four weeks in advance and will be finalized by December 20, 2013.
  • Letter of credit returns by December 2013 and January 1, 2014, provided no debts are owed to ARC and the carriers will be returned by December 20, 2013.

Regarding the submission of Accreditation applications and requests: If you require to have your applications processed by year end, please ensure to submit them as soon as possible as we cannot guarantee requests for expedited processing. At this time, Accreditation is working diligently to review and process all currently submitted applications in accordance with our service level agreements.

Tip of the Week: Credit Card Chargeback Policy

The purpose of the credit card chargeback policy is to provide travel agents with information necessary to avoid liability from fraud-related credit card chargebacks.

Always follow the instructions and procedures in Section 6 of the
ARC Industry Agents' Handbook (IAH).
Always validate the credit card expiration date and effective date.
Always obtain an approval code from the credit card company.

Following proper procedures for all credit card sales will offer the best protection in the event of a credit card chargeback. For additional information, refer to Section 6 of the IAH - Credit Card Acceptance Procedures, Credit Card Chargeback Policy and Risk Management Best Practices.
