Financial Guarantee and Accreditation Holiday Processing Schedule

As the holidays approach, please keep the following dates in mind with regards to processing by the Accreditation Services department:

  • Bond and Letter of credit cancellations need to be rectified by a reinstatement of current financial instrument or a new financial instrument by the cancellation date or by December 20, 2013.
  • If you have an increase to your cash deposit, ask in advance for cash deposit wiring instructions to submit cash deposit funds by anniversary date or by December 20, 2013.
  • All refunds for the month of December until January 1, 2014 will be processed by December 20, 2013.
  • All letter of credit draws for the month of December 2013 and January 1, 2014 will be submitted two to four weeks in advance and will be finalized by December 20, 2013.
  • Letter of credit returns by December 2013 and January 1, 2014, provided no debts are owed to ARC and the carriers will be returned by December 20, 2013.

Regarding the submission of accreditation applications and requests, if you need to have your applications processed by year-end, please ensure to submit them as soon as possible, as we cannot guarantee requests for expedited processing. At this time, the Accreditation team is working diligently to review and process all currently submitted applications in accordance with our service level agreements.

Tip of the Week: Using the IAR Exchange Adjustment Field

The Adjustment field on the IAR Exchange Summary screen is an IAR-only shortcut that can be used to either increase or decrease the value of an exchange in your sales report. For example, when an old document is exchanged for a new document of lesser value and the airline does not allow the difference to be refunded back to the customer or transferred to an MCO, you may enter the difference in the Adjustment field to create an even exchange.

Any amount entered in the Adjustment field has the same effect as changing the penalty amount. Using the Adjustment field saves you the step of moving back to the Exchange Support screen to change the Admin/Penalty field. When the exchange is reported to the carrier, the Adjustment and Admin/Penalty fields are combined together as a single penalty amount.

It is not possible to automatically populate the Adjustment field from a GDS entry because there is no GDS or carrier equivalent field. If you know that exchanging a fully unused ticket will result in a non-refundable, non-transferable "use-it-or-lose-it" balance, you can simply add that balance to the penalty amount before issuing the exchange and the transaction will interface to IAR with the correct total exchange value.
