IAR Modification to Prepaid Ticket Advice (PTA) Service Charge

In preparation to process Electronic Miscellaneous Documents (EMDs), IAR has been modified to no longer display the PTA Service Charge as a separate unique field on the Financial Details screen for either a sale or a refund. Instead, any PTA Service Charge will now appear in the Tax section with an 'XP' tax code.

The industry has designated 'XP' as the code to identify airline PTA service charges. IAR screens have been updated to follow this standard. IAR sales report lists may still be filtered to display PTAs by selecting 'PT-PTA' from the Document Type dropdown list. If for any reason you must manually enter a PTA into IAR, please add the PTA service charge as an XP tax along with the appropriate dollar value.

IAR Integration of Frontier-Midwest

ARC has been working with Midwest Airlines (453/YX) and Frontier Airlines (422/F9) over the past several months as they continue to integrate operations under the Frontier Airlines' carrier code. In order to ensure a smooth transition for agents and their customers, IAR will be updated as follows:

Effective Monday, November 1, 2010, Midwest/Frontier will inhibit the processing of any new sales on the YX carrier code. All new sales must then be validated on F9 and YX tickets will be rejected in IAR.

Effective Monday, November 1, 2010, Midwest/Frontier will allow for the exchange of unused YX coupons for a new F9 ticket.

All other YX transactions will continue to be processed by ARC, including cash and credit card refunds, until further notice.

The YX code will be fully removed from ARC sometime in 2011; please watch for a communication with the specific date in January.

ARC Accreditation Year End Processing Deadlines

In order to provide you with optimal service, ARC's Accreditation Department should receive your completed application no later than the submission deadlines noted below, if you are seeking review and approval of a change in status by December 31, 2010. We want to insure that all customers obtain the operational and legal status changes requested by year's end. The application must have all applicable attachments by the date noted to be considered complete. The following are the cutoff dates for the various application types:

  • Application Type Ownership Change Requests - 11/19/10
  • State-to-state Location/New VTC /Miscellaneous Changes - 11/29/10

(Miscellaneous changes include legal name, DBA, change in personnel, address changes etc.)

  • Voluntary Deletions - 12/10/10

Please note: Voluntary Deletion applications must be received no later than December 10, 2010 and have a termination date of December 10, 2010 or earlier to avoid the 2011 Annual Fee.

If you are submitting an application type that does not have a service level of less than 90 days, such as a New Independent entity or a Type II or Type V ownership change, the expected approval timeline will be January 2011.

Effective with sales of October 18, 2010 (PED 10/24/10), Emirates (EK/176) accepts Discover and Diners Club Intl as valid forms of payment through ARC.

Tip of the Week: Credit Card Chargeback Policy

The purpose of the credit card chargeback policy is to provide travel agents with the information they need to relieve themselves of liability from fraud-related credit card chargebacks.

The key points to remember are:

  • Follow the instructions and procedures contained in Section 8 of the Industry Agents' Handbook
  • Validate the credit card expiration date and effective date
  • Obtain an approval code

Following proper procedures for all credit card sales will offer the best protection in the event of a credit card chargeback.
